CountHound — Privacy Notice

CountHound does one thing: it watches refunds and cancellations on your Shopify store and corrects your inventory counts when Shopify didn't restock items correctly. This notice explains what data that requires, and what we do and don't do with it.
What we receive
When you install CountHound, Shopify sends us a notification each time an order on your store is refunded or cancelled. Those notifications include order details. From them, we use and keep only what inventory correction needs:
- Order ID and order number
- The products involved: variant, SKU, and quantity
- Whether Shopify restocked the items, and at which inventory location
- Inventory quantities before and after any correction we make
We also store your store's domain name (e.g. your-store.myshopify.com) and the API access credential Shopify issues us to read and adjust your inventory.
We store your store's contact email address (from your Shopify store settings) so we can send you service emails: an optional notice each time we correct an order, and a weekly summary of what we checked and changed. You can turn the per-correction notices off from a link in any of them — the weekly summary continues either way. These are service messages about your account, not marketing.
What we deliberately do not keep
Shopify's order notifications can include your customers' personal information. We strip it out before anything is saved. Specifically, we remove and never store: customer names, email addresses, phone numbers, billing and shipping addresses, and device/browsing details (IP address, browser information). Our correction log and dashboard contain no customer personal information at all.
Why we process this data
One purpose only: detecting and correcting inventory discrepancies caused by refunds and cancellations, and showing you a log of what we checked and what we changed. We do not use this data for marketing, profiling, or analytics beyond operating the service, and we never sell it or share it with third parties for their own use.
Where it lives and how long
Data is stored in a Supabase (PostgreSQL) database and the application runs on Railway. Data is encrypted in transit (HTTPS everywhere, including the notifications Shopify sends us, which are cryptographically verified) and encrypted at rest by our hosting providers.
- Raw event records are deleted after 60 days.
- The correction log (timestamps, order IDs, SKUs, quantities — no personal information) is kept for the life of your connection so you and we can review the service's history.
- Uninstalling the app deactivates your connection. On request, we will delete all stored data for your store within 30 days.
Service providers
We use Railway (application hosting), Supabase (database), and Resend (email delivery for the service emails described above) as infrastructure providers. They store data on our behalf and under our instructions; they have no independent right to use it.
Your rights and requests
During the beta you can contact us directly with any question, correction, or deletion request about your store's data, and we'll handle it promptly. If a customer of yours exercises a data-deletion right, note that we hold no customer personal information to delete — but contact us and we'll confirm in writing for your records.
Changes
If what we collect or how we use it changes, we'll notify you directly (you are a beta participant; you'll hear it from us, not from a changelog).
